Announce hotel events clearly and remove outdated notices on time
This guide helps you prepare a short event notice and manage its display, from confirming the details to removing it after the event.
1. Confirm the details with the organiser
Confirm the date, start time, room, price and what is included. Establish whether the event is for hotel guests only or also open to other visitors. Publish a definite announcement only when those details are settled. Free admission does not mean drinks are included.
2. Write a short notice in a clear order
Start with the event name. Follow with the date, time and location, then the price and booking instructions. Use a full date rather than just “Friday” or “tomorrow”, so the message remains clear later. Include any booking deadline and explain where guests can reserve a place.
3. Account for bookings and changes
The screen provides information; it does not replace a booking system. Check available places with the responsible team. Update the notice if the event is fully booked, cancelled or moved. A QR code can link to a confirmed information or booking page. Test the link and offer reception as another contact.

4. Set the display start and end
Schedule the notice in SUISSE-VIDEO and check the time and day settings available in your project. A recurring weekly time slot alone will not prevent a one-off event from being promoted again later. If the event date cannot be restricted adequately, set a reminder to remove the notice manually. After bookings close, you may show directions for guests who have already booked if they still need them.
5. Check playback and language versions
Ask someone else to find the date, location, price and booking instructions on the actual screen. Confirm that every language version contains the same details. After the intended end time, check that the notice has disappeared and the planned next content is showing. Assign someone to handle last-minute changes.
