Plan internal screen messages for your team

This guide plans an internal information screen with short messages. It also explains when a notice cannot replace a direct handover or personal confirmation.

1. Define the audience and location

Decide which team sees the screen and when they pass it. A break room may suit shared dates, but shift handovers may happen elsewhere. Check whether guests, suppliers or other people can also see the display.

2. Choose information by urgency

Separate general notices, dated events and tasks that require confirmation. Use the screen for the first two and add direct communication for important tasks. An information screen does not replace alarms or required safety briefings.

3. Make each message actionable

Give the subject, time, location and contact. The example table uses general notices without personal details. Reduce long minutes to the next relevant step; supporting documents stay in the agreed internal location.

4. Check content and access separately

Use a suitable separate location programme so internal and public content are not mixed accidentally. Check available access controls with the person responsible for the account. A separate project URL does not itself establish a protected staff portal. Plan sensitive content only once its access requirements have been confirmed.

5. Test scheduling, cover and visibility

Schedule text cards for the appropriate times and check preview and device. Ensure different shifts can see the notice in time. Limit notices that expire and appoint a deputy for maintenance. Ask the team whether the screen is useful, and add other channels if information is not reaching people.
